Job Description

We have an exciting opportunity for a proactive Bid Coordinator to be a key member of our growing UK Business Development team. Candidates must be confident communicators verbal and written, skilled and experienced at developing relationships, and able to coordinate people efficiently.

You will be an essential part of the team, responsible for receiving, assessing, evaluating and communicating bid notices and opportunities, making appropriate recommendations in liaison with the Bid Managers and sector leads. You will be tracking bids and providing regular feedback on any successes and advising on how the processes can be further refined. The role requires the ability to work under pressure and to deadlines.

You will manage and maintain the central knowledge base and will be responsible for answering all questions about the company in all RFI, RFP, ITT responses.


Key responsibilities:

  • Day to day management and communication of central mailbox and bid portals
  • Respond to all request for information pertaining to the company
  • Responsible for market research in support of opportunities
  • Manage qualification document preparation including:
    • Developing proposal schedule (as needed) and tracking compliance with those baselines.
    • Support assembling and supervising resources needed to respond to request for qualifications.
    • Managing preparation of response on regular basis including guiding and reviewing the work of other authors, writing material and making decisions affecting document’s overall format and content.
    • Obtaining management reviews of draft including soliciting input from Contracts and Legal.
    • Finalizing documents by incorporating comments and overseeing production cycle.
  • Manage preparation of content plans for a proposal including:
    • Assisting Bid Manager with developing content plans.
    • Recommending resources needed for that section to the Bid Manager.
    • Supervising the work of all resources assigned to the content plan including coaching on the proposal process, disseminating the strategy and goals, and overseeing progress and quality of work through frequent reviews.
    • Reviewing other content plans and sections of the proposal to ensure compatibility of information across the proposal.
    • Writing section summaries, introductions, and specific material.
    • Resolving comments on the section and finalising all work submitted by the various section authors prior to submittal to the Proposal Manager for final incorporation into the overall proposal.
  • Leads the development of follow-up material and clarifications of any material in the qualifications or specific section to customers.
  • Maintains data, tools, and systems needed to support preparation of qualification documents and proposals (i.e., project description databases, resume databases, corporate/division/project statistics, “boilerplate” site, etc.).  Develops and maintains generic proposal material.



  • Extensive experience as Bid Coordinator, PMO Analyst or Project Coordinator
  • Exceptional organisational skills, with an ability to manage a diverse range of tasks, involving different people and different activities to tight deadlines
  • Highly computer literate - Word, PowerPoint, Excel and Outlook
  • Excellent literacy skills and attention to detail.
  • Confident communicator both verbally and written
  • Able to identify the client’s key requirements.
  • Offer ideas and suggestions to enhance the bid processes and win rates.
  • Ability to lead development of graphics that support win themes, solution, and key messaging
  • Ability to create original content using interview and research techniques
  • Excellent Graphical Presentation Skills
  • Ability to work within a team effectively and deliver tight deadlines on time.
  • Ability to cope with change e.g., to brief, programme or role.
  • Excellent analytical skills

Desirable Skills and experience

  • Demonstrable experience in Adobe InDesign and or Creative Cloud
  • Demonstrable experience in LinkedIn sales Navigator
